Position title: B2B Reservations Consultant
JOB PURPOSE
The Reservations Consultant is responsible for understanding the needs of trade partners, suggesting suitable travel packages, and ensuring that bookings are made according to guidelines to deliver exceptional guest experiences. This role involves building relationships with tour operators, providing travellers with relevant information, and contributing to increased roomnight production and revenue for various properties.KEY DUTIES AND RESPONSIBILITIES
1. Processes
- Assist and advise Destination Management Companies (DMCs) in selecting travel options that match clients' specifications and preferences.
- Make reservations for guests based on their requirements and budgetary allowances.
- Check the availability of accommodations or transportation for desired travel dates.
- Assist in planning travel itineraries by suggesting local attractions and points of interest.
- Resolve issues that may arise with bookings or reservations.
- Respond to questions from agents regarding the reservation process.
- Provide support to customers needing reservation amendments or cancellations.
- Ensure timely and accurate updates to reservations charts and systems with guest information, including special requirements.
2. Financial
- Maximise occupancies and revenues through upselling, circuit bookings, and offering additional services.
- Upsell by informing customers about extra services or special packages.
- Process payments and send confirmation details to agents.
- Ensure timely collection of payments and appropriate cancellation charges.
- Properly file vouchers and follow up on full payment for cash agents.
- Process and issue Service Vouchers to agents.
3. Team
- Collaborate with the team to communicate areas of concern and improvement.
4. Trade Partners/ Guests
- Maintain strong relationships with clients/operators by providing support, information, and guidance.
- Communicate regularly with assigned tour operators to maintain positive relationships.
5. Systems/ Tools
- Use the booking system (ResRequest) to log quotations, bookings, and client interactions while monitoring agent performance.
REQUIREMENTS
- Proven track record of at least 5 years as a successful Reservations Consultant.
- Diploma in Hospitality, Travel, Tourism, Business, or a related field.
- Excellent knowledge of travel software (computer reservations systems, GDS systems, and e-travel).
- Proficiency in English; knowledge of additional languages is advantageous.
- Exceptional sales skills and a customer-oriented approach.
- Well-versed in various travel areas (domestic/international, business/holidays, group/individual, etc.).
- Effective presentation, persuasion, and communication skills.
- Demonstrable ability to handle crises.
- Preference given to candidates with personal travel experience.
