Position title: B2C Reservations Consultant


The Reservation Consultant plays a crucial role in understanding the Kenyan and Tanzania guest needs and suggests suitable travel packages and rates. The role involves building relationships with the guest/booker in order to convert bookings according to the guidelines provided, deliver a memorable experience, and supply travelers with pertinent information and useful travel/holiday materials to increase the production of room nights and revenue to the various properties.


1. Processes

  • Assisting and advising guests who may be choosing from a variety of travel options to identify the clients’ specifications and wishes and suggest suitable travel packages or services.
  • Making reservations for guests based on their various requirements and budgetary allowances.
  • Checking availability of accommodation or transportation on the guests desired travel dates.
  • Helping plan travel itineraries by suggesting local/international tourist attractions and places of interest.
  • Professionally handling any issues that may arise with bookings.
  • Answering any questions customers might have about the reservation process.
  • Providing support to customers who may need to amend or cancel a reservation.
  • Ensuring that the reservation charts are constantly and timely updated with the correct information.
  • Making sure that the system is kept updated accurately - full name of guests, arrival time, nationality, ages, dietary requirement, medical restrictions, special occasions, arrival and departure, comp, fam trip, FB and GP, residency status, originator information, booking source.
  • Reconcile Res Net bookings.
  • Reconcile OTA bookings on Resrequest.

2. Financial

  • Ensuring that maximum occupancies and revenues are achieved through upselling, encouraging circuit bookings, and offering alternatives.
  • Processing payments and sending confirmation details to guests.
  • Ensure proper filing of vouchers and follow up on full payment for cash bookings.
  • Process and issue service vouchers to clients.

3. Team

  • Working with the team by communicating any areas of concern and improvement

4. Trade Partners/ Guests

  • Maintain good relationships with clients/ guests by providing support, information, and guidance

5. Systems/ Tools

  • Use ResRequest to log all quotations, bookings and relationship events with clients
  • Knowledge of using the WETU itinerary builder is an added advantage.
  • Manage the channel management tools (Synxis) and OTA booking portal booking requests, messages, and invoices.


Bachelor’s degree in business, accounting or data analyst from an accredited college or university, with a professional certification such as Certified Internal Auditor (CIA), Certified Public Accountant (CPA), or other applicable certifications.


  • Diploma in Hospitality, Travel, Tourism, Business, or a relevant field.
  • Proven working experience as a Tours Consultant in a busy Tour Company.
  • Excellent knowledge of travel software, including computer reservation systems, GDS systems, and e-travel.
  • Proficiency in English; knowledge of additional languages is advantageous.
  • Strong sales skills and a customer-oriented approach.
  • Familiarity with various aspects of travel (domestic/international, business/holidays,
    group/individual, etc.).
  • Effective presentation, persuasion, and communication abilities.
  • Demonstrated crisis management skills.
  • Preference is given to candidates with personal travel experience.

  • Proven track record in a similar role, ideally within the hospitality industry.
  • Expertise in providing high-quality guest service experience.
  • Goal-oriented with strong training and development skills.

  • Strong organizational and planning skills gained through previous experience.
